Simple Automated To Do List In monday.com (2026)

Length: 9:14 Chapters: 11 Published: 13 Oct 2026

How to build a simple automated to do list in monday.com: a private task board, groups with matching status labels, automations that move tasks between groups, a due date deadline, extra columns, filtered views and subitems. The full written breakdown is below the video.

How Do You Create A To Do List Board In monday.com?

Create it manually from the plus button on the left, then choose what it manages and who can see it. Here's how we set it up:

  1. Press the plus button on the left, choose Board and create the board manually.
  2. Name it. We called ours Tasks, but it can be anything.
  3. Choose what you're managing on the board. This only changes the terminology, so we picked Tasks.
  4. Choose a privacy option and press Create Board.

Main makes the board accessible to anyone in your account, and Private means only people invited to the board can see it, even if they can access the rest of your monday.com account. Shareable is there if you want to share your tasks. For a to do list that's just yours, we'd choose Private.

What Groups & Status Labels Should A To Do List Have?

One group per stage of a task: To Do for things you know need doing, Doing for tasks in progress, Stuck for tasks you can't move forward but still need to finish, and Completed for finished ones.

Colour the groups, such as grey for To Do, red for Stuck and green for Completed, then set the status labels to match:

  1. Click into the status column and choose Edit labels.
  2. Set the default label to To Do and the next label to Doing.
  3. Keep Stuck as it is, rename Done to Completed and press Apply.

Check each label's colour against its group. We first made Doing amber, then changed it to purple to match the Doing group.

How Do You Move Tasks Between Groups Automatically?

Create one automation for each status, so a task moves to the matching group whenever its status changes. To set them up:

  1. Go to Automate at the top right, then Manage, then Create automation.
  2. Choose the trigger When status changes to something and set it to To Do.
  3. Add the action Move item to group, choose the To Do group and press Create Automation.
  4. Repeat for Doing, Stuck and Completed.

Then change a task's status to test it. Set it to Stuck or Completed and it moves into that group.

How Do You Set A Due Date As A Deadline In monday.com?

Rename the date column to Due Date, click its three dots, go to Settings and press Set as deadline. This connects the due date with the status column and, if you use one, the person column. Select the person column and press Connect Columns.

The due date then shows whether a task is overdue or was done on time, with a tick when it was completed on time. For a task that isn't finished, it shows a small pie that shrinks the further away the date is, and clicking it shows the days left.

What Other Columns & Views Should A To Do List Have?

That's up to you, but good options are a priority column (critical, high, medium or low), a long text column for the task description and a label column for the task type, such as admin, sales or finance. Press the plus button and go to More columns to see the full list.

Task type lets you filter to one kind of task, such as all your sales tasks. You can also filter by due date, for example overdue, done on time, tomorrow, next week or yesterday.

Group by due date sorts tasks into groups such as today, next week and past dates, and a task moves when its date changes. Press Save as new view to keep it, and the main table stays as your standard list.

How Do You Add Subtasks To A Task In monday.com?

Use subitems. Click the drop-down arrow on the left of a task and add a subitem for each step needed to finish it, and the parent shows a count of its subitems next to its name.

Subitems can have their own status, date and other columns, added the same way as on items. To see their progress on the parent, click the three dots on a subitem column and choose Show summary on parent item, and when you mark the subitems done, the parent's summary shows it.

Our subitems video goes into them in much more detail.
